Finance and Administration Coordinator
Location: Brussels
Commitment: Full-time
Start date: 1 March 2010 (or as soon as candidate is available)

Responsibilities: Reporting to President of HPCR International (aisbl) and its Executive Board the main responsibilities of the Finance and Administration Coordinator are to:
- Maintain all financial and administrative activities of HPCR International in accordance with the relevant legislation;
- Assist in the implementation of grant administration procedures;
- Maintain accounts payable and accounts receivable records and financial reporting in accordance with donor guidelines, including preparation for audit;
- Process all accounts payable and accounts receivable transactions;
- Prepare and monitor internal budgets, maintain oversight of cash flow, in close cooperation with other operational staff and partners;
- Liaise with contractors and suppliers such as accountant, social secretariat, landlord, etc.;
- Assist in the logistic arrangements of conferences, seminars and meetings with tasks such as travel and accommodation arrangements, invitations, registration, etc.;
- Execute general HR activities, including processing payroll and preparing employment contracts;
- Assist in the efficient and effective day to day management of the office.
Qualifications: The Finance and Administration Coordinator must:
- Hold a relevant degree in finance/accounting or business administration;
- Have prior experience in financial reporting as well as office administration, preferably with an NGO/not-for-profit organization. Familiarity with accounting software package highly desirable;
- Have prior experience in the field of grant administration and donor reporting;
- Be extremely familiar with word processing software (in particular Microsoft Word and Excel), databases and mailings;
- Be able to work under pressure and with tight deadlines;
- Have excellent oral and written skills in French and English (some knowledge of Dutch desirable);
- Have excellent organizational and time management skills and ability to be flexible and prioritize;
- Be willing to learn new skills and acquire new responsibilities;
- Have the ability to travel occasionally as needed;
- Hold all the necessary permits to work in Belgium.
This position is based in Brussels. Monthly salary will depend on background and experience. Duration of contract is initially until 30 June 2010 with possibility of permanent contract beginning 1 July 2010. Only short listed candidates will be contacted. Intern - Project Assistant
Location: Brussels
Commitment: Full-time
Start date: 1 March 2010 (or as soon as candidate is available)

Responsibilities: The main responsibilities of the Project Assistant are to:
- Assist in the organization of training activities and other events;
- Prepare logistics arrangements for operational activities;
- Assist with various communications, such as drafting letters and responding to information requests;
- Assist in the maintenance of project databases and update project financials;
- Assist in day-to-day overall office management of the office.
Qualifications: The Project Assistant must:
- Hold a higher education degree (minimum 3 years);
- Have Excellent oral and written skills in French and English (required);
- Have prior experience in organization of events (highly desirable);
- Possess strong computer skills, or the desire and ability to learn quickly (Word, Excel, databases, basic html); knowledge of a publishing software is an advantage;
- Be organized, flexible and able to efficiently handle multiple tasks.
